Terms & Conditions Agreement

THE CONTRACT:

A trip refers to any product itinerary or activities that you buy with us including Trekking, Tours, Expeditions, and/or other adventure and tour programs.
Before your booking is confirmed and a contract comes into force, the Company reserves the right to increase or decrease brochure prices.
 

Booking

Your booking will be confirmed once we received the deposit for your trip a non-refundable 20% of the total cost per person for the trip and the rest of the amount to be paid upon arrival or prior to departing fot the trip. Payment can be made by bank transfer or by cheque. If payment by card is required this is possible but the bank charges us 1.5% and this will be added onto the invoiced amount for payment. If payment is from an overseas bank account all charges must be paid by the transferor.

Cancelation on our behalf

POSTPONE THE TRIP

A written notice should be sent to us if you are unable to travel on the allocated days due to any reason.

In case of postpone of Nepal tour, minimum USD 150.00 will be charged as a current trip cancellation charge and the remaining amount will be transferred for the postponed trip.

CANCELLATION POLICY

In the event that you cancel your trek, please be informed that, the 20% deposit you made upon booking the trip with us will be considered as trip cancellation fee.

And if you have paid more than the trip deposit then we shall reduce the 25% trip deposit from that amount and remaining balance will be refunded to you via original payment method.

And this policy is effectively applicable right after you confirmed your booking with us. It does not matter whether you intend to cancel your trip before 30 days or less than 30 days prior to your trip departure date, 20% trip deposit is non-refundable.

If we have to cancel the trip due to unavoidable circumstances, eg, a natural disaster, a nationwide strike, etc, then we will make a complete refund including deposit. However, we shall not be liable to refund any additional expenses that may have incurred such as insurance, visa fees, national park permit, TIMS card fee, etc.

Cancelation on your Behalf

If you cancel the trip after you have signed-up, then normally the deposit is not refundable but depending on the cause of cancelation we will consider a refund to some extent. If clients discontinue after the trip has begun, then Friends Adventure Team shall not be liable to refund any of the days not completed. Clients have to pay for the hotel and any additional costs incurred after leaving the itinerary.

Clients have to pay the difference in expenses incurred due to changes in the itinerary if in the event of conditions beyond our control (such as a disruption in flight scheduling that may result in staying at a hotel that costs substantially more than the planned arrangement on the trek)

It is the clients responsibility to get adequate insurance coverage for theft, personal accident, medical expenses, and cancellation of tickets, helicopter evacuation and emergency repatriation.

The itinerary is an indication of what the group should accomplish, but not a contractual obligation. The itinerary may change due to bad weather, unforeseeable circumstances, and unavoidable situations.

Please note that we are not liable of any delay or loss during the transfer process. If in case due to use of mediator bank or any other reasons if the money received by us is less than the amount sent, you are requested upon arrival to pay accordingly so that the total is equivalent to the product cost.
(Final payment on trekking, tours, climbing, expedition or any kind of trips in Nepal can be made upon arrival in Nepal. Final payment can be made by bank transfer, travel check, cash or by Credit Card (Visa or MasterCard). There is 4% surcharge when the payment is made by cards (this applies to all payments; deposits, final balances, trip extension and miscellaneous purchases.)

India/Tibet/ Bhutan Trips:

Any cancellation by a Client must be made in writing and acknowledged by the Company. The date on which the request to cancel is received by the Company or its Agents will determine the cancellation charge applicable.

Cancellation 60 days or more before departure: Loss of deposit.

Cancellation less than 21 days before departure: 100% of cost of services booked.

Please note that no refunds will be made if you voluntarily leave a trip for any reason after the trip has begun. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.

CANCELLATION OF A TOUR BY THE COMPANY:

Randonnee Nepal Treks reserves the right to cancel any trip, including a guaranteed trip, prior to departure due to reasons beyond its control (i.e. due to natural disasters, flight cancellation, consequences of strikes, industrial action, wars, riots, sickness, quarantine, government intervention, weather conditions, or other untoward occurrences. In such a case only, Randonnee Nepal Treks will refund the trip price only. If The Company cancels a departure which is guaranteed to run, we will refund the trip price, or you are entitled to take an alternative trip of the same value.

The Company is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

MEDICAL CONDITIONS AND SPECIAL REQUIREMENTS:

Some trips may be unsuitable for Clients due to age, mobility, pregnancy or physical or mental conditions. It is the Clients responsibility to check prior to booking. The Company is not required to provide any special facilities unless it has agreed to do so in writing. The Company will do its best to meet Clients special requests including dietary, but such requests do not form part of the Contract and therefore the Company is not liable for not providing these requests.

Adequate and valid travel insurance is compulsory for all travelers. Your travel insurance must cover accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue and air ambulance where applicable) and personal liability. The Company also recommends it covers trip cancellation, curtailment and loss of luggage and personal effects. You must carry proof of insurance with you and produce it if reasonably requested by the company employees or suppliers. The company reserves the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time, including after the commencement of your trip, with no right of refund, if you are unable to provide proof of insurance when requested.

Risks and hazards

Your booking is accepted on the understanding that you realize and accept the risks and hazards potentially involved in adventure trips and that you are mentally and physically capable of undertaking your chosen trip.

Medical conditions

You must tell us if you have an existing medical condition or disability that might affect your trip or any of your party’s member’s enjoyment of it, before you book your trip. If there is any doubt about whether your chosen expedition is suitable for your medical condition or disability you must seek medical advice to confirm that the trip is appropriate for your condition. As a term of your booking you warrant to us that you have informed us of all medical conditions that might affect your trip and that where you have a medical condition you have obtained where relevant medical advice confirming you are safe to join the trip.

Proper equipment

You are responsible for bringing with you the proper clothing and equipment, which we advise you about on our website. If you need to hire any equipment you should notify us at the time of booking. If our Lead Guide does not believe you have proper equipment you must follow his advice to hire or buy the items required locally. Clients will not be allowed to start a climb/trek unless they have proper equipment and in this event no refunds or compensation will be paid.

Passports, visas, and immigration requirements

Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements

FLIGHT DELAYS AND CHANGES IN THE ITINERARY:

Moreover, Randonnee Nepal Treks does not accept any responsibility for costs incurred as a result of missed international flight, but would assist to make alternative arrangements wherever possible. Please also note that while on the field, we may have to make some changes in the itinerary due to unforeseen circumstances.

TRIP AMENDMENT:

You must carry a valid passport and have obtained the appropriate visas when traveling with Randonnee Nepal Treks. Please ensure your passport is valid for 6 months beyond the duration of the trip. Nepal Visa is available on arrival in Nepal. For Tibet and Bhutan, the company can make necessary arrangements upon request. For India, the client will have to acquire the Visa from their own home country.
Randonnee Nepal Treks would not be liable for any injury/health conditions/emotional or other conditions suffered by the client during the trip. Similarly, our package cost does not include any personal insurance. Hence, we advise the clients to take adequate insurance packages, including medical emergencies and evacuation by Helicopter.
There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination/departure from tour, i.e. sickness, death of a family member etc. late arrival on the tour, or premature departure either voluntarily or involuntarily.

UPDATING OF TERMS AND CONDITIONS:

The Company reserves the right to update and amend these terms and conditions at any time. It is the responsibility of the Client to keep updated with any changes. The current version of terms and conditions will always be found on the website www.randonneenepaltreks.com and will be the terms referred to in any dispute.
